One of our clients, a leading pharmaceutical company in Switzerland, is looking for a Project Assistant for a 4-month contract located in Aargau, Switzerland.

Your tasks & responsibilities

  • General administrative tasks such as meeting organization, business travel coordination, organization of project support and business analysis
  • Preparation of meetings and events incl. agendas, invitations and material
  • Recruitment interview program coordination
  • Get purchase orders in the ARIBA system for Vendors, coding of incoming invoices via ARIBA, tracking of purchase orders, settle travel / entertainment expenses with the expenses tool
  • Support confidential HR activities, such as recruitment of staff, personnel issues, and assist with new-starter onboarding and orientation
  • Act as a contact person for general requests involving the department, such as moves, office set-up/allocations, etc.

What you must have

  • Business, commercial, IT diploma or equivalent
  • Minimum 4 years of relevant experience (ideally with PA experience)
  • Be discrete, diligent and flexible and work actively, independently and be able to prioritize
  • Excellent knowledge in MS office and Google Mail and Calendar
  • Knowledge of SharePoint/Touchpoint, Google suite tools is required
  • You love the challenges of a dynamic, global environment and can handle multiple tasks at one time
  • Strong interpersonal skills and excellent team mate with dedication and passion, able to prioritize workload
  • A keen sense of relevance and use of good judgment, which allows you to work with considerable independence
  • Excellent customer service and problem-solving skills
  • Comfortable working within virtual structures where communication happens to a large degree by mail and phone
  • Conversational spoken and written English
